How to participate
Are you ready for the event? Excited? Looking forward to meeting your polyglot friends face to face yet again? In order to enjoy the event to its fullest potential, we recommend registering as a participant and coming to Teresin for the Gathering with the “ALL IN 1” package option as it provides you with everything necessary to really make the most of the event.
Our aim is to make the Polyglot Gathering 2023 into a “Polyglot Holiday”, where you can effortlessly combine educational activities (talks, workshops, discussions) with the leisure pleasure ones (trips, social activities, concerts, evening programmes, meals etc.). To fully enjoy Polyglot Gathering we highly recommend you participate in the entire event choosing the “ALL IN 1” package providing the best value of all the options and letting you fully enjoy your time with polyglots and other language lovers during the whole event.
In case you cannot, for any reason, take part throughout the entirety of the event, or you plan on staying in another place, we have you covered as well. With the “CUSTOM” package option you can choose and pick the ideal assortment of items, based on your needs (registration fee, dinner,...). Bear in mind, however, that the complete package is of better overall value.
Registration fees
All participants must be registered. It is advised to register in advance. People who are not registered will not have access to the venue.
There are two separate price lists, depending on your participation:
- “ALL IN 1 packages” that include participation in the event, accommodation in a hotel for the whole duration of the event (5 nights or only 4 nights) and all meals;
- CUSTOM: separate price lists for participation, meals and accommodation, for example if you cannot participate in the entire event, you have a place to stay, etc.

All prices are in euros. To know how much your participation would cost, you can fill in the registration form, it will automatically calculate your participation fee.
Packages “All-in-1”
The package “All-in-1” include:
- participation in the entire event;
- accommodation in a hotel for 1 person, with breakfast for 5 nights (Wednesday, June 14 to Monday, June 19) or only 4 nights;
- all lunches and dinners, starting from dinner on Wednesday and ending with dinner on Sunday.
Note that staying at Kuźnia Napoleońska (the Polyglot Gathering venue) is possible only within “All-in-1” participation packages.
Breakfast is included in Kuźnia Napoleońska. All lunches and dinners will take place at Kuźnia Napoleońska (the venue), even if you ordered accommodation somewhere else or no accommodation at all.

All rooms have a bathroom. The possible room types mean:
- single: a room with one bed for one person;
- double: a room for two with one big bed for two;
- twin: a room for two with two separate beds;
- triple: a room for three with three separate beds.
There are no bunk beds in any hotel.

Accommodation
Breakfast is included in Kuźnia Napoleońska (including for people staying at the dormitory), but is not offered at the pilgrim’s house.

The possible room types mean:
- single: a room with one bed for one person;
- double: a room for two with one big bed for two;
- twin: a room for two with two separate beds;
- dormitory: a room where participants can sleep with their own sleeping bags and sleeping pads (see Practical information for more details).
The pilgrim’s house has shared bathrooms on each floor. The dormitory includes access to toilets and showers as well as use of the swimming pool.
Hotel Chopin is available to participants who stay for at least three nights.
Meals
Lunches are included in the participation fee, but dinners are not.
There is a possibility of having dinner at the Gathering venue together with other participants. When registering for the Gathering, you can choose whether you would like to order them or not. You can of course use the dinner times to go out and eat at places of your choice. There are only a few restaurants, cafés and shops in the town.
Also, the common meals are a great possibility to hang out with fellow polyglots outside of the lectures and get to know new people. The dining room is a very cozy place to get together and use the Gathering to its fullest potential.
Meals will be served as buffets with vegetarian and vegan options.

Extras
T-shirt
The Polyglot Gathering 2023 T-shirt costs 10 €.
Discounts
Discounts are available for people under 18, students under 26 and people who give lectures or workshops. The age taken into account is the age on the first day of the Polyglot Gathering (June 14, 2023). Students must provide a valid student ID card when they arrive at the Polyglot Gathering.

Cancellation charges
The appropriate refunds will be made after the event with the following conditions:
- Up to 4 May 2023: full participant fee paid minus 70 € will be refunded.
- From 5 May 2023 and up to 16 May 2023: 50% of the total fee paid will be refunded.
- From 17 May 2023: no refund will be possible.
If you want to cancel your participation, please write to administration@polyglotgathering.com.
Name change
If you are prevented from attending, you will be given the opportunity to send a colleague in your place. Name changes should be notified in writing to email (administration@polyglotgathering.com). A handling fee of 30 € will be charged for each name change. No name change will be possible after 12 May 2023.
Updating your registration
When you complete your registration, you will receive a confirmation message containing a link allowing you to update your registration. Please note that some changes (especially regarding meals and accommodation) will have to be approved by an organizer.
Payment information
- Your spot at the Polyglot Gathering is not officially reserved until you pay the fees associated with your booking. Please make sure to pay within 7 days after your register, otherwise the registration becomes invalid.
- All fees for the Polyglot Gathering registration shall be paid in EUR (€), free of all bank charges!
- With the bank transfer, please kindly state the participant’s name in order to identify your payment.
- Payments received without name details cannot be identified.
- The full amount, free of any bank charges must be received. Bank transfers will be accepted until 25 May 2023 only.
- Please note: If your payment is not received before the deadline dates (April 14, 2023, May 14, 2023 or June 8, 2023), the later or on-site fee respectively will be automatically applied for unpaid registrations or new requests.
Confirmation
Upon receipt of the correct participant fee (clear of all bank charges), each participant will receive a confirmation of registration.

Note: When sending money, please write “PG2023” and your name and surname in the field “Message for recipient”, e.g. “PG2023 John Smith”.
Note: If you use a foreign bank account to transfer money to the account in Slovakia, please arrange your transfer so that you, the sender, will pay the transfer cost (otherwise, you will need to pay us the transfer cost at the event, since it will have been deducted from the money that we received). If your bank account is not in euro, consider using Wise to avoid high transfer costs.
Credit card
You can also pay by credit card directly in the registration form. The payment form is provided by Stripe and we do not see or store your card data.
A banking fee (2.9% of your total amount) is automatically applied if you choose to pay by credit card.
PayPal
It is also possible to pay through PayPal to administration@polyglotgathering.com, but a fee (5% of your total amount) is applied.
